How to clean up Uncategorized and Ask My Accountant in QuickBooks Online
Every client file has them: transactions parked in Uncategorized Income, Uncategorized Expense, or Ask My Accountant. They don't stop the bank from reconciling, but they make the P&L wrong. Here's how to clear them and keep them clear.
Why these balances matter
QuickBooks Online puts transactions in Uncategorized Income or Uncategorized Expense when they're accepted from the bank feed without a category, and many bookkeepers and clients use Ask My Accountant as a "decide later" bucket. The bank balance is still right, so the reconciliation balances. But the P&L is wrong: income may be overstated, deductible expenses are missing from their real categories, and anything sitting there at year-end turns into a scramble before taxes.
Step 1: Find everything that's parked
- Run a Transaction Detail by Account or General Ledger report for those three accounts, for the year to date.
- Sort by payee or description to see patterns: often 80% of the lines come from a handful of payees.
- Also check the Chart of Accounts balances: if a client has created their own "Miscellaneous" or "Other" accounts, include them.
Step 2: Reclassify in bulk where you can
- Recurring payees first. If 40 lines are the same software subscription, they all go to the same category.
- In QuickBooks Online Accountant (being replaced by Intuit Accountant Suite after December 31, 2026), the Reclassify transactions tool lets you change the account on many transactions at once. On a client's own login, edit them from the register or the bank feed's categorized list.
- Transfers and card payments parked as uncategorized should be changed to the right transaction type, not just a category; otherwise the other account won't reconcile.
- Loan payments need splitting into principal (the loan liability) and interest (an expense).
Step 3: Ask the client, once, with a short list
Whatever you can't work out goes to the client in a single, short list: date, amount, payee or description, and your best guess. "Sept 14 · $412.50 · AMZN MKTP · office supplies?" lets the client confirm in seconds. A long open-ended email gets no reply.
Step 4: Stop it coming back
- Bank rules for recurring payees, set to suggest rather than auto-add until you trust them.
- Make clearing these accounts a fixed step in your month-end close, so balances never age past one month.
- If clients categorize in their own file, give them a short list of the categories you want them to use, and limit their user permissions where appropriate.
If it's already year-end
Work from the largest amounts down: a few big transactions usually make up most of the balance. Clear anything that changes taxable income first, then the rest. And note which payees caused the mess, so next year's rules prevent it.
Frequently asked questions
What is Ask My Accountant in QuickBooks Online?
It's an expense account clients and bookkeepers use for transactions they're unsure how to categorize. It should be emptied every month; anything left there distorts the P&L.
Why does QuickBooks put transactions in Uncategorized Expense?
When a bank feed transaction is accepted without choosing a category, QuickBooks Online records it as Uncategorized Income or Uncategorized Expense.
Can I reclassify many transactions at once?
Yes. QuickBooks Online Accountant includes a Reclassify transactions tool for changing accounts in bulk. Transfers and credit card payments need their transaction type changed, not just their category.
Does an uncategorized balance stop the bank reconciliation?
No. The bank side is still correct, so the account can reconcile, but the profit and loss report is wrong until the transactions are categorized.
