Case study: how Marketium reconciles 42 QuickBooks Online clients from one dashboard

Nexora Recon was built inside Marketium, an accounting firm, on real client books, before it ran anywhere else. Here's what it has found there so far, in plain numbers.

The numbers so far

Totals from Marketium's Nexora Recon workspace as of October 16, 2026:

42client companies on QuickBooks Online, across Simple Start, Essentials, Plus and Advanced
345bank and credit card accounts watched every morning
163statements read (PDF and CSV), covering 143 account-months
11,164statement lines checked against the books, to the cent
8,277lines matched automatically to entries already in QuickBooks
1,913statement lines that weren't recorded in QuickBooks yet
10keying errors caught: the entry exists, but the amount was typed wrong
337entries posted to QuickBooks, every one approved by someone at the firm first

Put simply: about 1 in 6 statement lines wasn't in the books yet when the statement was checked. Each one is a deposit, fee, card charge or transfer that would otherwise have been found by ticking lines by hand, or not found at all.

The problem before

Marketium keeps the books for dozens of small businesses. Like most firms, the work wasn't hard, it was slow: find out which accounts were behind, ask each client for the right statements, wait, then tick every line in each client's file and record what was missing one entry at a time. Clients on Simple Start and Essentials, about 4 in 10 of Marketium's list, didn't get the AI-assisted reconcile that QuickBooks offers on higher plans.

How the firm works now

  1. One dashboard. Every client's status, the statements still missing account by account, and open items, on one screen.
  2. Statements in. Uploaded in the app, filed to the right account and month automatically.
  3. Every line checked overnight. Matches, lines missing from the books, and differences explained.
  4. Approve and post. Staff pick the payee and category for each missing line and approve. Nothing is written to QuickBooks without that approval, and existing entries are never edited.

One client, one month: a restaurant

A restaurant client's September checking statement had 132 lines, mostly daily card-processor deposits. 99 of them weren't in QuickBooks. A staff member reviewed and approved them in one sitting: 38 deposits and 61 expenses, with payees and categories, and the app remembered those choices for the same kinds of lines next month. After posting, all 132 lines matched and the account showed a $0.00 difference for September.

What it flagged that a person might miss

About Marketium

Marketium is the accounting firm Nexora Recon was built with, and our partner firm, so this isn't an arm's-length review. That's also why the numbers are real: the product has run on their client books every day since before it was offered to anyone else. Client names are left out on purpose.

Does Nexora Recon post entries to QuickBooks on its own?

No. Every one of the 337 entries was approved by someone at the firm before it was created, and existing entries are never edited or deleted.
