Month-end close software for a small bookkeeping firm on QuickBooks Online
A small firm's close has three parts: knowing who does what, getting the statements and documents from clients, and proving the books match the bank. Most "close software" covers the first. Here's what each tool covers and what it costs a small firm, with prices read on each vendor's site.
The short answer
For tasks, deadlines and the team's workflow, a small firm usually picks practice software: Financial Cents or Karbon. For a close page per client with a client portal, Double. For reviewing the financials, Xenett. For the statement part (which statements are missing and whether every line is in QuickBooks), Nexora Recon. Many small firms run one workflow tool plus Nexora Recon, because the workflow tools track that a reconciliation is done, not whether the books match the statement.
What each tool covers
| Tool | Part of the close | How it's priced | Lowest published price |
|---|---|---|---|
| Financial Cents | Workflow, tasks, client requests; Month-End Close add-on | Per user (+ per client add-on) | Solo $19/mo; Team $49 per user (annual); close add-on $5 per client |
| Karbon | Practice management, email and work in one place | Per user | Team $59 per user per month (annual) |
| Double (formerly Keeper) | Close page, client portal, file reviews, reconciliation help | Per connected client | $10 per client per month (Core) |
| Xenett | AI review of the financials, workflow | Per client | $7.50 per client (AI Financials Review) |
| Nexora Recon | Statements: missing list, every line checked against QuickBooks, entries to approve | Per client company | $19 per company per month, 10-company minimum |

Example: 3 people, 30 clients
| Setup | Monthly cost (published prices) |
|---|---|
| Financial Cents Team (3 users) + Month-End Close add-on | $147 + $150 = $297 |
| Karbon Team (3 users) | $177 |
| Double Core (30 clients) | $300 |
| Nexora Recon (30 companies) | $570 |
Annual-billing prices where the vendor shows them. These tools overlap only partly: a workflow tool plus Nexora Recon is a common pair.
The part most close tools leave to you
A close checklist can say "reconcile Chase 4321 — done". It can't tell you that the August statement never arrived, or that three deposits on it aren't in QuickBooks. That's the slowest part of a small firm's month: chasing statements and ticking lines. Nexora Recon lists the missing statements per account and month for every client, checks each statement's math, compares every line with QuickBooks and proposes the missing entries; nothing is written until someone approves it. Our month-end close checklist shows where each step fits.
Frequently asked questions
What is the best month-end close software for a small bookkeeping firm?
For workflow and deadlines, small firms usually pick Financial Cents or Karbon; for a close page with a client portal, Double. None of them checks every statement line against QuickBooks Online, so many firms add Nexora Recon ($19 per company) for the statement part.
Is close software priced per user or per client?
Both exist. Financial Cents and Karbon price per user; Double, Xenett and Nexora Recon price per client.
Does Financial Cents reconcile bank statements?
Financial Cents' Month-End Close add-on is for reviewing and closing; its pricing page doesn't describe comparing statements with the books. Nexora Recon does that comparison line by line.
