How to compare bank statements to QuickBooks Online and find missing transactions
A transaction is "missing" when it's on the bank statement but not in QuickBooks, or in QuickBooks with no line on the statement. Here are the ways to find them, from a spreadsheet to software that does it for every client every morning.
The short answer
For one account, you can do it by hand with a spreadsheet, or with QuickBooks' AI-powered reconciliation if the file is on Plus or Advanced. For many clients, use software that reads each statement and compares every line with QuickBooks Online for you. Nexora Recon does that across every account of every client, on every QuickBooks Online plan, for $19 per client company per month, and lists both the lines missing from the books and the statements that never arrived.
Four ways to do it
| Method | How it works | Good for |
|---|---|---|
| By hand | Export the register to a spreadsheet, type or paste the statement, match amount and date | One account, once |
| QuickBooks AI reconcile | Upload or auto-import the statement; QuickBooks compares it with the books in the reconcile screen | Clients on Plus, Advanced or Intuit Enterprise Suite |
| Double (formerly Keeper) | Upload a PDF statement for a reconciliation to find differences with cleared transactions | Firms already running their close in Double ($10+ per client) |
| Nexora Recon | Every line of every uploaded statement (PDF, scanned PDF or CSV) checked against QuickBooks Online for all clients at once; missing statements listed per account and month; proposes the missing entries for approval | Firms with many clients on any QuickBooks Online plan |

Doing it by hand, step by step
- Check the statement first: opening balance plus all lines must equal the ending balance. If it doesn't, the statement (or your typing) is wrong.
- In QuickBooks Online, run the account's register for the statement period and export it.
- Match each statement line to a register entry by amount, then by date (allow a few days for checks and card settlements).
- What's left on the statement side is missing from the books; what's left on the register side is in the books with no bank line (duplicates, wrong account, voids that weren't voided).
- Look for the classic traps: transposed digits (54.10 vs 45.10), one deposit split into two, and the same transaction imported twice.
The 10 causes of a reconciliation that won't balance covers each trap.
What software adds
Done by hand, this takes about 30 to 60 seconds per line. Across a firm's whole client list that's hours every month. Nexora Recon reads PDF, scanned PDF and CSV statements, checks the statement's math, matches every line, and gives you one list: lines missing from QuickBooks, entries with no bank line, possible duplicates, transposed amounts and check-number mismatches, plus the statements still missing per account and month. At Marketium, a US bookkeeping firm, it checked 11,164 statement lines across 42 client companies and found 1,913 that weren't in QuickBooks (case study). Nothing is written to QuickBooks until someone at the firm approves it.
Frequently asked questions
Is there software that compares bank statements to QuickBooks Online?
Yes. QuickBooks' own AI-powered reconciliation does it on Plus and Advanced files. Nexora Recon does it on every QuickBooks Online plan and across all of a firm's clients at once, for $19 per client company per month. Double can compare an uploaded PDF statement with cleared transactions.
How do I find transactions missing from QuickBooks Online?
Compare every line of the bank statement with the account's register for the same period. Lines on the statement with no entry are missing from the books; entries with no statement line are extra or misposted.
Can it read scanned PDF statements?
Nexora Recon reads PDF, scanned PDF and CSV statements, and checks each one (opening balance plus lines equals ending balance) before using it.
